What a configuration could hand over
When FLOWii is the only system in the company, the configurator has to deliver more than a contact into it. Through its interface an enquiry can be created with line items and a price, so a quote and later an invoice follow without opening another tool. Which line items travel is agreed during implementation.
Partner
The customer from the configurator could become a new partner, or the enquiry could be assigned to a partner you already have in FLOWii.
Business case
A configuration could create a business case with an expected amount based on the calculated price, and with dimensions and options in custom fields.
Price quote
The configuration’s items could produce an issued price quote document linked to the business case, with lines from your goods and services or free lines with a unit price.
Attachments and communication
A summary of the configuration could be attached to the business case, along with a communication record carrying the 3D view link.
What we need to connect it
The FLOWii API is available only with a paid licence; the FREE licence does not support it.
Access would be authenticated with the API key found in the extensions section of the FLOWii settings, together with a user login, which the API exchanges for a short-lived token; we recommend a dedicated user for this.
Together we set the business case states and sources, the custom fields, and the numbering sequence the price quotes should use.
Worth deciding up front
- FLOWii has a daily limit of 25,000 API calls. One enquiry with a quote is only a few calls, but syncing goods should run at sensible intervals.
- On line items FLOWii distinguishes prices with and without VAT as well as the VAT rate; we agree which price the configurator provides so tax is not counted twice.
- If you export documents and partners from FLOWii to POHODA, the mapping should keep the data your accounting needs.
Questions about this connection
Can an enquiry become a price quote straight away?
It could. The FLOWii API allows a price quote document with line items to be created and linked to the business case. Whether you want it immediately or only after a salesperson has checked it is your call.
We are on the free version of FLOWii. Is that enough?
The connection needs a paid FLOWii licence, because the API requires one. Without it the connection would have nowhere to write, so we check this at the start.
Can the quote later become an order and an invoice?
Order and invoice are the usual path in FLOWii. The connection would prepare the business case and the quote, and you would take the next steps as you do today.
