What a configuration could hand over
SAP is not something you reach into lightly, and routing around it makes no sense. So the configurator sits in front of it: customers configure on the web, and only an approved configuration can enter SAP, in a structure your own people define. How it is transferred is agreed with your SAP team.
Business Partner
The contact from the enquiry could be matched to an existing business partner by company ID or email. A new partner would only be created when SAP does not know the customer yet.
Sales Quotation
In S/4HANA an approved configuration can become a quotation through the Sales Quotation API, which allows the header, partners and items to be created in a single request.
Items and texts
Dimensions, options and material would be split into items by your material numbers. Whatever a material number cannot hold could go into the item text, together with the link to the 3D preview.
Sales Order
If you do not keep quotations in SAP, the configuration could prepare a sales order through the Sales Order API instead, again only after your salesperson has approved it.
What we need to connect it
In S/4HANA Cloud we need a communication arrangement for the Sales Quotation Integration scenario (SAP_COM_0118) with a technical communication user; on premise, the relevant OData services activated.
For Business One a Service Layer user with rights to quotations and business partners is enough; it logs in through a session, and newer versions also support OAuth 2.0.
We design and test the transfer on a test system or client first, never straight on production.
Together with your SAP team we write down the mapping: materials, document type, sales organisation, distribution channel and what goes into texts.
Worth deciding up front
- If you configure products with SAP variant configuration, someone has to decide whether the configurator fills the characteristics or passes items with text and your own person completes the configuration in SAP.
- The configurator's price is a basis for the customer. The binding price should still come from the pricing conditions in SAP, or the company ends up with two versions of the price.
- SAP S/4HANA Cloud Public Edition has no outbound SOAP API for sales quotations, so status updates back to the configurator would be handled by polling over OData.
Questions about this connection
Will a quotation be written to SAP without a salesperson checking it?
That depends on what we agree. We usually propose that only a configuration your salesperson has approved goes to SAP, and any quotation approval you run in SAP stays in place.
Can this be designed for SAP Business One too?
Business One has its own Service Layer API with quotations, orders and business partners, so a transfer can be designed there as well. We check the scope against your version and user-defined fields.
